Group II, Series 10. Correspondence (Boxes 448-476 Microfilm Reels 1-523)

This series consists of materials related to both constituent and other correspondence. Subseries 3 consists primarily of constituent correspondence. Subseries 4 consists of thank-you letters, letters expressing cordial greetings, and other informal letters, including letters between Senator Pryor and other members of the Senate. Subseries 6 indexes the materials in Subseries 7. Subseries 7 is restricted as per donor agreement, and may be accessed only with the permission of the head of Special Collections.

Subseries 1. Library Item Encyclopedias

This subseries consists of library item encyclopedias, which contained form letters used by Senator Pryor’s office to answer constituent correspondence. Individual letters are designated as Item “x”. The library item encyclopedias underwent occasional revision, during which some letters were added, edited, or discarded. Part of the revision process was to redesignate items; therefore, individual letters do not retain the same designation from one edition of the encyclopedia to the next. Several library item encyclopedias were microfilmed; for their locations, see Box 476, Folder 6.

Subseries 2. Correspondence Weekly and Abstract Reports

The reports in this subseries give statistics on the volume of mail in Senator Pryor’s office, recording the frequency with which mail addressed any given topic and subtopic. The reports list the workload of each of Senator Pryor’s aides. Also, the reports give a breakdown of correspondence by individual correspondent, giving the case number, issue, the date the case opened, the deadline for the case, the last date action was taken, the names of any agencies involved, and a listing of the problem.

Subseries 3. General Correspondence

This subseries consists of constituent correspondence. These materials were filed by Senator Pryor’s staff under several different titles, including “General Correspondence,” “Administrative General Correspondence,” “General Administrative Correspondence,” and “General File–Correspondence”. These different categories have been integrated under the title “General Correspondence.” This subseries consists of two sections. The first section consists of “General Services Administration” correspondence, and is arranged by GSA number; it spans the period 1979-1980. The second section is titled “General Correspondence.” In keeping with the practice of Senator Pryor’s office, these files are arranged chronologically by year, and then subdivided either by month, alphabetically by the correspondents’ last names, or into subject categories.

This subseries consists of indexes of the microfilm in Subseries 7. It includes two paper documents, two sets of microfilm, and two individual rolls of microfilm. The two individual microfilm rolls represent indexes dating from 1986 and 1992. The two sets of microfilm date from October 1996 and index materials from 1979-1994; one set is by topic listing, the other is an alphabetical list by correspondent. The document “Name Report in Alpha Order, 1979-1994" gives the alphabetical list by correspondent and gives a reel-by-reel correspondent index; it is reproduced below. The document “CMS Microfilm Tapes, 1979 through 1993" gives a reel-by-reel index of reels 1 through 409 in Subseries 7; the index includes assigned numbers of the documents on each reel. Items were originally assigned a “cartridge” number. They have been reassigned reel numbers 454-523 as listed below.
